This policy explains which data the Shopify app Stockwyn processes when a merchant installs it, why, and for how long. Stockwyn keeps stock in step between Shopify stores of the same business.
2. What the app does not process
The app has no permission to read orders or customers and does not read, receive or store order data, customer data or buyer data. It does not use online access tokens, so no names, e-mail addresses or other data about your staff accounts are stored.
3. Data from your Shopify stores
- The myshopify.com domain of every store the app is installed in, and the access tokens Shopify issues to the app for that store. Tokens are stored encrypted.
- Which of your stores are linked, which one is the main store, and for each link the time and the version of the terms each store consented to. No name and no e-mail address is recorded with a consent.
- Codes for linking stores: only a fingerprint (hash) of a code is stored, never the code itself, with the times it was created, expires and was used, and the store that used it.
- Your settings: which location follows which, the buffer and maximum quantity per target store, and your rule for large changes.
- For every product you link: the Shopify variant ID, the inventory item ID and the SKU in both stores; and for every linked product and location the quantity both stores last agreed on, with its time.
- Open work: the inventory item IDs waiting to be checked, quantity changes that were sent and are not yet confirmed, and changes that wait for your decision (product, location, quantity before and after).
- A log of what the app did: time, store, kind of event, SKU and quantities. It is kept for 90 days.
- A preview you asked for, and the result of a product search you started, are stored until the next one replaces them. They contain SKUs, quantities and product titles.
- Short-lived technical notes: quantities the app itself wrote (to recognise the notification they cause), the IDs of notifications from Shopify that were already handled, and the times of wrong codes that were entered. They are removed within about 7 days.
- The start date of your free trial, and — if Shopify reports your store as a development store — the date Stockwyn first saw it as one (development stores only get test charges). Payments are handled entirely by Shopify; we never see payment details.
Product titles and location names are otherwise read from Shopify when a page shows them and are not stored. The language of your Shopify admin is used to show the app in your language and is not stored.
4. Technical data
Our server records technical logs (time, requested path, status, the store a background task worked for) and error reports from the app's pages (error message and page path) to keep the service running and secure. They are kept by our hosting provider for a limited time and are not used to identify people.
5. Purposes and legal basis
We process the data to provide the app you installed (Art. 6(1)(b) GDPR) and to keep it secure and working (Art. 6(1)(f) GDPR). We do not sell data, do not use it for advertising and do not use tracking cookies.
6. Service providers
- Shopify — the platform the app runs on.
- Railway Corporation, USA — hosting of the app and its database on servers in the United States (US West, California)
- BunnyWay d.o.o. (Bunny Fonts) — delivers the fonts of our public pages (this page, the support page and the terms). The app inside your Shopify admin does not use it.
Where data is transferred to a country outside the European Economic Area, this is based on appropriate safeguards under Art. 44 ff. GDPR.
7. How long data is kept
- When you remove the app from a store, its access tokens are deleted and its links to your other stores are disconnected as soon as Shopify tells us about the removal. Disconnecting changes no quantity in any store.
- All remaining data about that store is deleted when Shopify sends its shop deletion request (according to Shopify, 48 hours after the removal). If you have installed the app in that store again by then, the store is in use and its data is kept.
- The log is kept for 90 days.
- Our database is backed up once a day in encrypted form and the last 7 backups are kept, so deleted data can still exist in a backup for up to 7 days.
8. Getting your data
In the app, Settings → Your data downloads everything stored about the store you are signed in to as one machine-readable file (JSON): links, locations, linked products, the last confirmed quantities, decisions and the log.
9. Your rights
You can ask for access, correction, deletion, restriction or a copy of your data, and object to processing, by emailing hello@stockwyn.com. You also have the right to lodge a complaint with a data protection supervisory authority.
10. Changes
If this policy changes, the new version is published on this page with a new date.
